- Do you allow Bouncy Castles at the Village Hall?
Yes, of course! You are welcome to hire a bouncy castle from a local provider and place it in the main hall as part of your event. There’s a £20 surcharge per booking, which you’ll need to pay when making the booking—this helps cover wear and tear, insurance, and electricity.
Just a couple of rules: only one bouncy castle is allowed, and it can’t be taller than 10 feet 6 inches. It needs to be placed in the center of the hall to avoid sloping ceilings and must not block any fire exits. Also, it’s up to you to make sure the supplier of the bouncy castle has proper insurance to cover any damage or injuries that might incur.

- What time do evening events need to finish?
From Monday to Saturday, everyone needs to be out by midnight when the caretaker locks up. On Sundays, the venue closes at 11:00 pm. If you’ve got alcohol, drinking must stop 30 minutes before closing—so by 11:30 pm during the week and 10:30 pm on Sundays.
We’re in a residential area, so please be considerate of our neighbors. Also, make sure you leave the venue clean and tidy, or you could lose your security deposit. If you need extra time to clean up, you might be able to book the morning after—just let us know!
- How do I book the Village Hall?
We have made bookings really easy by introducing an online booking system that shows a live calendar that lets you find an available time and date that is right for you.
After selecting the date and time you'd like to hire the hall, our online system will calculate the cost and allow you to make the payment online. Once you've completed the payment, your booking will be secured. - What if I need or want to cancel?
Our cancellation policy is found in our terms and conditions.
For one-off hirers:
- If the Hirer cancels the booking more than 28 days prior to the date of hire, then all monies paid will be refunded in full
- If the Hirer cancels the booking between 28 days and 14 days prior to the event, the security deposit will be forfeited
- If the Hirer cancels the booking less than 14 days prior to the event, the full hire charge will be forfeited
For regular hirers:
- For block bookings, the hirer must give 14 days notice of any breaks or unwanted periods of hire (e.g. holidays) for a full refund to be issued, although additional notice would be gratefully received.
- Any bookings due to take place with less than 14 days notice will not be refunded, whether they go ahead or not.

There are two tiers of security deposit that will be added to your invoice during the booking process:
- £50 for events with no alcohol or with alcohol that finish before 6pm
- £250 for events after 6pm with alcohol
After your hire session, we will inspect the building and grounds to ensure everything is clean, tidy, and undamaged. If everything is in order, your deposit will be refunded within 48 hours using the original payment method. Minor issues, such as a broken teacup, won't affect your deposit, but there have been occasions where significant damage required repair.
In cases of substantial damage, we will assess the situation and may need to obtain repair quotes. If the costs exceed your deposit, we will invoice you for the additional amount. For incidents we believe involve criminal damage, we will not hesitate to contact the police. Please remember that the lead hirer is responsible for the behavior of all attendees.
- How can I pay for hire?
After selecting the date and time you'd like to hire the hall, our online system will calculate the cost and allow you to make the payment online. Once you've completed the payment, your booking will be marked as provisional. Our bookings officer will then get in touch to discuss any further requirements you may have. Your booking will be fully confirmed after the payment has been processed.
- How do I access the hall?
For one-off hirers, the caretaker will meet you on-site to unlock the Village Hall and return at the agreed finish time to lock up. Regular hirers will be provided with a code to access the key safe located near the main entrance.
- Do I have to clean up afterwards?
Yes, this is essential. Stanton under Bardon Village Hall operates on a 'leave it as you found it' basis.
We expect you to:
- Wipe all surfaces and spot-clean any spills.
- Sweep up any debris.
- Ensure toilets are flushed and free of litter or mess.
- Return tables and chairs to their storage areas, stacked no more than five high.
- Check the car park for any rubbish left by your attendees, such as plastic cups or balloons.
We will provide two bin bags and dispose of these for you. Any additional rubbish must be taken home and disposed of responsibly. If extra bags are left behind, £5 per bag will be deducted from your security deposit.
All hirers are required to leave the Hall clean, tidy, and in the same condition as they found it.
- What happens in the event of a fire or someone needing first aid?
There are manual fire alarms throughout the village hall that will sound in the event of a fire.
Fire exits include the front entrance door and the two emergency exits in the Main Hall.
There are fire extinguishers throughout the building, as well as a fire blanket in the kitchen next to the fridge freezer.
There is a medium sized first aid kit on clear display in the kitchen next to a poster showing how to treat common injuries. If an accident occurs, please complete a form in the accident book and notify the Parish Clerk of the details. If any items from the kit are used, inform the Parish Clerk so they can be replenished.
A defibrillator is located outside the front entrance. It can only be activated by the ambulance service. In an emergency, dial 999 and follow their instructions.
If you need to evacuate the building, please use the emergency assembly point in the rear car park.
- What's in the kitchen?
Our kitchen is equipped with a fridge freezer, microwave, electric hob and oven, dishwasher, kettle, and hot water boiler. Glasses, plates, cups, and saucers are available for your use if needed. However, please note that there are no knives in the kitchen due to health and safety reasons.
We provide some tea towels, washing-up liquid, and dishwasher tablets for your convenience.
There’s also a general cleaning cupboard stocked with various cleaning supplies to help you mop up spills and ensure the kitchen and Village Hall are left clean and tidy.
- Is there a baby change?
Yes, there is fold down baby changing unit in the disable bathroom.
- Do you let dogs inside the Hall?
The Hirer shall ensure that no animals except guide dogs are brought into the Village Hall, unless specifically agreed in advance by the Hall Management.
No animals are permitted to enter the kitchen under any circumstances.
- Can I bring alcohol to my event?
If you're planning to have alcohol at your event, it's really important that you provide further details during the booking process. This helps us make sure everything follows the premises license and ensures that the correct security deposit is applied.
If you’re planning to sell alcohol, you will need to apply for a Temporary Events Notice (TEN) and follow all licensing rules. If you’re unsure about this, please get in touch with the the Bookings Officer.
Please remember:
- Alcohol must stay inside the building and cannot be consumed after 11:30 pm (Monday–Saturday) or 10:30 pm (Sunday).
- Alcohol cannot be given to anyone under 18 or sold to anyone intoxicated.
- Free tap water is always available for anyone who needs it.
Following these rules isn’t just important—it’s essential to ensure a safe and enjoyable event for everyone using the Village Hall.
- I've left something behind what do I do?
Don't worry we'll try and put this aside for you to collect.

- I'm a regular hirer - Do I need insurance for my sessions?
If you're welcoming others to your sessions then you're responsible for their safety. Public liability insurance is required and your professional body can usually advise on this.

- I am a regular hirer - Is there any storage available?
There may be options to store equipment at the hall - please contact clerk@stantonunderbardonparishcouncil.gov.uk for further details.
However the Parish Council is not responsible for any loss or damage to items left, or that they cause to others.
- Does regular hire need to be weekly?
No - we define a regular hirer as a group or individual who has 4 or more pre-booked hires throughout the year. These hires can be daily, weekly, fortnightly or monthly.

Our main hall floor measures 15.1m x 10.5m and has a maximum capacity of 150 people
Our meeting room measures 5.6m by 3m and has a maximum capacity of 15 people
- How many parking spaces do you have?
We have 23 car parking spaces that are available for our hirers to use.
